School Communication Procedures

As a school, we appreciate:

  • the importance of regular communication between school and home

  • that we live and work in times where there are a huge variety of different communication methods

As a school, we use the following communication procedures:

  • Homeroom teachers email parents each week to update families on what is happening in the classroom and around the school

  • School management or teachers in charge of activities will email parents as necessary

Phone

  • School management or teachers will call parents if there is a matter to discuss

(04) 9393247

Bulletin

  • The School Bulletin is published weekly on a Friday. The link to the weekly bulletin is emailed to parents and will also be available on the school website

  • The aim of the bulletin is to share the following information with parents:

    • Messages from the Senior Management

    • Share success stories from school

    • Inform parents about important school events

Facebook

  • The school's Facebook page is used to:

    • share photos

    • publish future events

Parent Portal

(this is an app that will be shared with parents later in 2020)

  • All parents will have access to the parent portal

  • Parents are invited to contact homeroom teachers if there is an issue accessing the portal

  • The Parent Portal is mostly used for:

    • receiving and retrieving reports

    • viewing assessment information

    • monitoring attendance

Kindo

At EBIS payments can be made by cash (in the classroom cashbox) or through KINDO, which is an online payment facility. For school lunches i.e. Sushi on Wednesdays or Pita Pit on Thursday you will need a Kindo account, as this is the only method of payment they accept. Kindo is also an easy way to find information about sporting activities, school trips etc. as they are listed under different headings on this site.
Go to www.mykindo.co.nz  to either activate an account or login if you are an existing client.  When you go onto the Kindo site, you will need to use the email address that we have on record for you at EBIS. This is very important, as Kindo is linked to ETAP (our student management system) and payment information is linked between the two systems, hence the need for the same email address and your child’s room number. If you need any help you can call the Kindo Helpdesk on 0508454636, Monday-Friday 8am to 4pm.

Sport Notices

  • Paper copies will be handed out to students

  • PDF copies can be found here

  • Some teachers might email notices to parents

  • The office also can access this information if required

Other Apps

  • Some teachers use other work sharing applications. This is not compulsory but if teachers use them, they will share the information with parents.

What can parents do:

  • Please make sure the school has your correct contact details

  • If you are using Facebook - please follow the school page

  • Please ensure you are familiar with the content on the school website

  • Please let us know if you do not receive the weekly Bulletin

Communication from home

As a school we appreciate any communication from home that can assist us in our relationship with students.

We ask parents to adhere to the following arrangements:

  • We have a policy that staff have a 48 hour timeframe to respond to emails

  • We do not expect staff to respond to emails after working hours or during weekends or holidays

  • We have a policy of dealing with issues directly with the staff member involved first.

We expect parents to contact homeroom teachers if they have any issues. The teachers will pass any information on to the Senior Management if need be.

Should parents still feel the issue has not been dealt with, they can contact Senior Management

  • We have a policy of always assume “good intent”.  We expect teachers and parents to be role models in the way they communicate with others.

  • Parents should always feel that the school has an open door policy where all teachers and Senior Management are willing to discuss any issues in a positive and constructive way
